Hello everyone, 

I have a struggle that I need help with solving. I have a library with 300 different documents. Sometimes these documents expires or are replaced. I do not want to delete the old ones, so I give them an Obsolete tag, which means that the other users cannot see these documents. 

The challenge is that the documents still appears in the search module. So my question is if it is possible to make single documents with specific tags unsearchable?

Hi TL91,

For your request, you can follow the steps:

1. Create a "Yes/No"column in the library named "Obsolete" and give the relevant document value about this column.

2. In Central Administration->Manage service application->search service application->Content Sources->run full crawl.

3. Return to search service application->search schema->managed property->find and edit "RefinableString00" or other default empty managed property->Add a mapping for "Obsolete" column->Start a full crawl.

4. Return to search service application->Result sources->right click and copy "local SharePoint results"->click "Launch Query Builder"->In the "property filter" section->select "Show all managed property"->select "RefinableString00" and "not equals" "Yes"->rename and save. Then right click and "set as default".

5. Go to search box to check if the documents which mark as Obsolete can be searched.
