Hi,

how to make documents in document library to be visible only after its gets approved-I am using OOTB document approval designer workflow.In SharePoint 2010 On premise

If author changes the document after approved, system should trigger the workflow again making it pending. Which also working fine by enabling WF to get trigger on Edit of item currently. I cant enable "content Approval" on this since on "Item Edit" workflow not able to change the "Approval status" column back to pending.

My final issue now with out enabling "Content Approval" and only using "OOTB" WF is ,document which are pending for Approval also getting visible to all "Read" access users currently including ,Authors and Approvers.

I want to show this documents to "Read" only users only after they get approved. How can we achieve this OOTB

Hi,

We can change the permissions for the items using the workflow.

Here are demos in this blog and this blog.

But it changes the item permissions. When content approval is required, people who have permission to read content but do not have permission to see draft items will see the last approved or major version of the file. Using the workflow, these user will not see the last approved or major version of the file as they has not permissions on it.

In addition, the change of workflow status is not an item edit event and it will not trigger the workflow. It is difficult to automatically start the workflow which is used to change permissions on the current item after it is approved.

As a workaround, you can use the Event Receiver to start the approval workflow based on the condition – Content Approval status is Pending.
