Hi Simon,

You have a maximum of 16 custom fields. Once you hit that, new ones push older ones off the list.

From what you have said, it looks like you are using custom field for things that might be better tracked as keywords or catalog sets. As a general rule:

Use custom fields for anything that will take a single answer per media item, but probably one of several single answers. For instance, a single image can be at only one stage in your workflow, so:

"Workflow Stage" would be the custom field
The values might be "Reviewed," "Edited," "Archived"

Or Price might take three custom fields, one for each size print. But each size of each image can only be one price. Then the values would be the dollar amounts.

Keywords or Catalog sets can be for multiple values attached to a single media item. For instance, Keywords attached to a lion cub in Kenya might be "lion, Kenya, Africa, African, Animal, Baby, predator, savanna, Masai Mara." Hierarchical keywords let you apply mulitple keywords at once, so maybe you have a hierarchy like:

Animals
   Mammals
      Lions
      Moose
      Elephants
   Pinnipeds
      Walrus
      Leopard Seals
      Bearded Seals

The same hierarchical arrangement can be created as a catalog set. I find personally that I use catalog sets for everything except those images I've submitted to stock agencies. I find my images in my catalogs with catalog sets, but have keywords for those I've submitted more geared toward search engines in stock agencies. The baby lion above is a good example. If I want to find him in my catalog, I click on Lions in my catalog sets. I set the keywords to "lion, Kenya, Africa, African, Animal, Baby, savanna, predator, Masai Mara." to increase the chances of people finding my image on the stock agency search.
